How to Buy Wholesale Products from Japan

Buying wholesale products from Japan can create a distinctive product range, but the process is different from placing a normal retail order. A successful wholesale project starts with a clear business profile, realistic order quantities and a shared understanding of pricing, lead time, exportability and destination-country requirements.

Wholesale sourcing and proxy buying are different

A proxy purchase normally means buying a specific retail or marketplace item on your behalf. Wholesale sourcing involves commercial inquiries: identifying a supplier, explaining your business, requesting wholesale terms, confirming MOQ and planning repeat orders. Some Japanese suppliers welcome overseas retailers; others sell only domestically or work through appointed distributors.

1. Prepare your buyer profile

Suppliers are more likely to respond when they understand who you are and how their products will be sold. Prepare a short introduction in advance.

  • Registered business name and website
  • Country and target market
  • Sales channels, such as a store, Amazon, eBay or Shopify
  • Product categories already sold
  • Estimated opening order and repeat volume
  • Desired launch date

2. Define the products and acceptable alternatives

Provide model numbers, specifications, reference images and target price. If an exact product is unavailable, decide which features can change. For example, you may accept a different color or package size but require the same material, brand and country of manufacture.

3. Identify suitable Japanese suppliers

Potential channels include manufacturers, official distributors, regional wholesalers, trade fairs, specialty retailers and online marketplaces. The right channel depends on your quantity, need for continuity and whether you require authorized distribution.

  • Manufacturer: potentially strong continuity, but MOQ and review requirements may be higher.
  • Distributor: may provide access to multiple products and established logistics.
  • Wholesaler: useful for assortment building and smaller mixed orders.
  • Retail sourcing: useful for samples, demand tests and limited products, but not a substitute for a stable wholesale agreement.

4. Ask the right commercial questions

A lower price is not always the best offer. Compare reliability, lead time, documentation, packaging and replacement options as well.

5. Order samples before a larger commitment

Use samples to verify the product, retail packaging, labeling and international shipping characteristics. Record the carton size and weight because dimensional weight may materially affect landed cost. If the product requires testing, certification or specialist authentication, agree on that scope separately.

6. Calculate the complete landed cost

7. Confirm compliance before resale

The importer is generally responsible for ensuring products meet the destination market’s safety, labeling, intellectual-property and other regulatory requirements. Requirements can change by product and country. Do not assume a product approved for sale in Japan is automatically approved everywhere else.

Important: Purchasing genuine products does not by itself make a retailer an authorized distributor or grant permission to use all brand assets. Obtain written authorization when your marketing requires that status.

8. Build a repeat-order process

After a successful first shipment, document SKUs, supplier contacts, confirmed specifications, MOQ, price validity, lead time and reorder points. A stable replenishment plan is more valuable than repeatedly starting supplier research from zero.
