How to Order Product Samples from Japan
A sample is not just a smaller order. It is a controlled test of product quality, packaging, communication, documentation and the cost of moving the item from Japan to your customer.
Decide what the sample must prove
Write acceptance criteria before ordering. For a ceramic mug, that might include dimensions, capacity, glaze variation, rim condition, wobble, dishwasher claims, retail box and drop protection. For electronics, it might include voltage, included accessories, startup, inputs, noise and serial number. The checklist should match the final sales promise.
Ask for a representative sample
A hand-selected perfect piece may not represent normal stock. Ask whether the sample comes from current production or inventory, whether colors and materials match future orders, and what may change. For handmade goods, define an acceptable range rather than demanding impossible uniformity.

Order enough samples
One unit can reveal design and finish, but not consistency. For a commercial decision, consider units from more than one carton or production lot. Keep one approved reference sample when possible. For high-risk products, use an independent lab or specialist rather than relying on a general visual check.
Calculate the sample’s real value
International shipping can make a sample look expensive. Compare that cost with the risk of a wrong bulk order. Combining unrelated samples may reduce base freight, but fragile or restricted items can require separate packing.
Move from sample to purchase order
- Confirm the final specification and acceptable tolerances.
- Identify the approved sample by date, photos and SKU.
- Agree on bulk packaging, quantity and inspection level.
- State how changes must be approved.
- Define the remedy for material defects.
- Recalculate landed cost at the production quantity.
Samples are most useful when the results become written buying standards—not when they simply “look good.”
